It must now accommodate the broader liquor-related contact environment linked to a licensed business, including supplier / representative contacts as well as appointed liquor-officer or regulatory contact details where applicable. For client-facing purposes in the cell phone app, I want this section to be understood clearly, simply, and in a practical business manner. The preferred wording for the app section is therefore: Your Business Liquor Contacts This wording is more suitable because it is broad enough to include all relevant liquor-related contacts for the business, while still remaining clear and understandable to the licence holder using the app. Below is the structured breakdown of how I want this section and related workflow to operate. __________________________________________________________________ Emails and WhatsApp Templates shall follow, Email 2 __________________________________________________________________ This is no longer just a supplier notice feature. It must now be developed as a broader Liquor Compliance Contacts and Renewal Notification Module within the Licentia system. The purpose of this module is to assist the liquor licence holder, the assigned Licentia franchisee, and Head Office with the structured management of third-party liquor-renewal contacts linked to a licensed business. This must be approached as a controlled compliance and communication feature, not as a general contact-sharing or open messaging tool. South African liquor-regulation material reflects annual renewal processes and the importance of valid liquor-licence records, while POPIA requires lawful, purpose-specific, and safeguarded processing of personal information. 1. Core module name and structure Please build this feature under a broader heading such as: Your Business Liquor Contacts / or / Liquor Compliance Contacts This module must contain two separate contact classes: 1. Appointed Liquor Officer / Regulatory Contact 2. Supplier / Representative Contact These two categories must not be merged into one generic contact list. They serve different purposes and must be treated separately in the data structure, permissions, messaging logic, and reporting. 2. Phase 1 scope For Phase 1, this module applies to liquor-licence businesses only. This is because annual liquor renewals directly affect supply continuity and compliance communication. The structure must, however, be future-proofed so that Licentia can later extend the same framework to other licence categories if required. 3. Business purpose The module must allow Licentia to do the following: * store and manage liquor-related third-party contacts linked to a specific licensed business; * remind the liquor licence holder annually, at the renewal stage, and a second time at the Annual Renewal Issued License stage, that these contacts may be added or updated for convenience; * automatically notify suppliers when proof of payment, and the renewed annual Certificate for renewal has been uploaded; * automatically notify suppliers when the renewal payment and renewed liquor licence certificate has been uploaded; * inform the liquor licence holder and the assigned franchisee that the supplier notifications were sent, including the results and method used; * build a growing internal Licentia database of appointed liquor officers / regulatory contacts across the provinces. (This is aimed at Licentia Branding and Licentia shall have the biggest database of Suppliers and SAPS Liquor Officers in SA) 4. Important design principle It is not compulsory for the liquor licence holder to upload either: * appointed liquor officer details; or * supplier / representative details. These are optional but strongly encouraged convenience features. (The Franchisees shall be required to upload while visiting the Business Premises) The system must therefore not block the renewal workflow if these contacts are not captured. Instead, the system must remind the holder each year, at renewal stage, of when the Renewal Payment was made (proof of payment is uploaded, for this needs to be done anyway with the Renewals annually), that they may add or update these contacts for convenience and structured notification purposes. 5. Contact class 1: Appointed Liquor Officer / Regulatory Contact This class must be built first in the module, and may have several entries, but shall never exceed 5 The purpose is to allow Licentia to create and maintain a searchable database of appointed liquor officers / regulatory contacts for each province and business area. SAPS and designated liquor officers appear in liquor-regulation and enforcement structures, but their roles differ by legislative framework and province, so this contact class must be flexible and capable of verification. The feature must be configurable by Licentia so that communication can be applied according to operational and provincial requirements. 6. Contact class 2: Supplier / Representative Contact This class is the automatic outward notification feature for Phase 1. POPIA / authority confirmation at point of upload Before the liquor licence holder, franchisee, or authorised Licentia user can save supplier / rep details, the system must require a mandatory confirmation that the uploader is authorised to provide those details and that the details may be used for renewal-related notifications and document communication. This is necessary because POPIA requires lawful processing, purpose specification, openness, and reasonable safeguards when personal information is collected and used. Data subjects also have rights relating to objection, correction, and deletion where applicable. Annual reminder logic The system must trigger a reminder to the liquor licence holder each year at the renewal stage (Uploads of Proof of Payment and/or Renewal Certificate Issued) is due or uploaded. The reminder should say, in effect, that for the holder's convenience, they may add or update: * appointed liquor officer / regulatory contact details; and * supplier / representative details. Business Liquor Contacts Reminder For your convenience, you may now add or update your Business Liquor Contacts for this renewal period. Licentia Franchise SA (Pty) Ltd and its appointed franchisee assist with the management of your renewal-related details to help keep your liquor licence records up to date and to ensure, where applicable, that your suppliers are informed in a timely and structured manner. You may add or update: Appointed Liquor Officer / Regulatory Contact details; and Supplier / Representative details. This step is optional, but recommended if you would like these contacts to be properly recorded and, where applicable, notified when proof of payment or your renewed liquor licence certificate is uploaded. The franchisee must also be able to capture or update this information on behalf of the holder. 9. Supplier notification triggers For Phase 1, only supplier / rep contacts must receive automatic notifications. The automatic trigger events are: Trigger 1: Proof of Payment Uploaded When proof of payment for the liquor licence renewal is uploaded, the system must automatically send an email and WhatsApp notice to each active linked supplier / rep. Trigger 2: Renewed Liquor Licence Certificate Uploaded When the renewed liquor licence certificate is uploaded, the system must automatically send an email and WhatsApp notice to each active linked supplier / rep. 10. Supplier notification content requirements Proof of payment notice The supplier must be informed that: * the annual liquor licence renewal process for the business has formally commenced; * Licentia Franchise SA (Pty) Ltd is acting as the appointed liquor licence management and compliance administrator for the business; * proof of payment has been uploaded to the system; * the supplier is receiving the notice because their details were provided by the liquor licence holder or its authorised representative for renewal and compliance communication; * the assigned franchisee's contact details are available for further queries. Renewed certificate notice The supplier must be informed that: * the renewed liquor licence certificate has been uploaded and placed on record; * the certificate is attached for convenience, or made available by secure link; * the communication is for administrative and compliance confirmation only; * it must be read together with the official renewed certificate for the applicable licensing period; * the attachment or link is provided to assist the supplier in confirming that the business holds an updated liquor licence for purposes of lawful stock purchasing and supply; * the assigned franchisee's contact details remain available for further queries. The wording must avoid broad statements such as "the business is fully compliant." The notice must stay linked to the uploaded renewal documentation only. 11. Informing the liquor licence holder that notifications were sent This is an important part of the module and must be built in. When the system sends supplier notifications, the liquor licence holder must also be informed by email and WhatsApp, in a list-formatted summary, that the named suppliers were informed and which method was used. The assigned franchisee must receive the same summary. "Recent Activities" The summary must show: * supplier name * contact person * method used: email / WhatsApp / both * date and time sent * delivery result: sent / failed / pending * event type: proof of payment / renewed certificate This must not be only a casual message. It must be a structured delivery summary. 12.
